One system instead of ten spreadsheets

HR, warehouse, production, laboratory, field sales, freezers at customer sites, the vehicle fleet and management reporting. All in one place, in six languages, on a phone and on a computer.

The system is in daily use at the Millennium ice cream factory in Baku.

What this is

Millennium CPS brings the work of the factory into one place: who turned up for a shift, what was received into the warehouse, what was produced, what the laboratory checked, what the field agent took out and how much came back.

People in the field work from a phone, people in the office from a computer. Managers do not chase reports: the reports arrive by email on their own, in the evening and in the morning.

The system grew out of the work of a real factory, not out of a presentation. Every screen here exists because somebody needed it.

How it looks in daily use

The data shown in the screens below is fictional.

HR and time sheets

Personnel files, orders, leave, business trips and working-time records. An order is printed with a QR code, so its authenticity can be checked without calling the HR department.

  1. 1An employee submits a leave request from a phone or from a computer.
  2. 2The line manager sees the request and HR approves it.
  3. 3The time sheet and the remaining days are recalculated automatically, and the order is produced with a single button.

Warehouse with addressed storage

Every shelf has its own address and its own barcode. The storekeeper works with a scanner rather than from memory: receiving, put-away, order picking and stocktaking all follow the code.

  1. 1The pallet is scanned, then the bin — and the goods go to their place.
  2. 2Order picking checks every barcode: the wrong item simply will not be accepted.
  3. 3Stocktaking shows a discrepancy straight away, not a week later.

Production

Recipes, batches and output. Raw materials are written off as the batch is completed rather than on a separate piece of paper, so warehouse stock always matches the shop floor.

  1. 1The supervisor opens a batch against an approved recipe.
  2. 2The system shows how much raw material is required and writes it off from the warehouse.
  3. 3Finished goods are received in boxes, with a production date and a shelf life.

Laboratory

Eight logbooks: raw material intake, pasteurisation, homogenisation, finished product, deviations, cleaning, reagents and instrument calibration. Entries are numbered automatically and cannot be edited once approved.

  1. 1The technician records the readings in the logbook for their shift.
  2. 2The laboratory manager approves the entry and it becomes read-only.
  3. 3Reagent expiry dates and instrument calibration dates raise reminders on their own.

Field and shops

The field agent works from a phone: route, visit, photographs of the display before and after, arrival confirmed by satellite. A shop is created on the spot, together with its coordinates and a photograph of the entrance.

  1. 1The phone prompts the agent when a shop from the route is nearby.
  2. 2A visit can be closed only with photographs and coordinates.
  3. 3In the evening the manager sees the day on a map: who was where and how far they drove.

Freezers at customer sites

Records of trade equipment issued to shops: where it stands, who holds it, what is under repair and what has been written off. A handover is documented with a QR-coded certificate; repairs and write-offs follow a chain of approvals.

  1. 1A freezer is issued to a shop and the handover certificate is printed with a QR code.
  2. 2During a visit the field agent scans the barcode and confirms that the equipment is in place.
  3. 3A write-off passes through the technician, the accounts department and the director — the balance changes only after approval.

Vehicle fleet

Mileage, trips, stops, fuel consumption and the temperature inside refrigerated bodies. The system finds suspicious refuelling on its own: vehicle in motion, far from the filling station, more than the tank holds, at night.

  1. 1Data arrives from the trackers and from the fuel company without manual entry.
  2. 2Every refuelling is checked against where the vehicle was at that moment.
  3. 3Body temperature is shown per trip rather than per day — otherwise standing at the factory distorts the picture.

Diagrams and factory photo tour

Electrical panels are drawn and linked into a diagram, and every device has its own card with a photograph and its label. The photo tour lets you walk through the factory in a browser and open a panel straight from the panorama.

  1. 1A panel is photographed, the system reads its contents from the images and proposes a draft diagram.
  2. 2A person confirms it, and the diagram then checks itself: overloaded branch, supply loop, mismatched voltages.
  3. 3The diagram can be printed, exported to a drawing, and it keeps every version.

Reports that arrive on their own

Managers do not go looking for reports. Emails are sent on a schedule, and in the evening a review of the day arrives: what happened, what needs attention and what could not be measured.

  1. 1The schedule is set once: who receives what, and when.
  2. 2The evening review takes its figures from a database query; artificial intelligence only puts them into words.
  3. 3If the data could not be collected, the email says so plainly instead of showing a zero.

How it is built

Permissions, not trust

Twenty roles, each with its own set of screens and actions. The storekeeper does not see salaries, the HR officer does not see prices, the auditor sees everything and can change nothing.

A phone for the field, a browser for the office

Field agents, drivers and storekeepers work in an Android application. The application remembers what was done without a connection and sends it on once the connection returns.

Six languages

Azerbaijani, Russian, English, German, Kazakh and Uzbek. Each person chooses their own language, and it applies to emails and printed documents as well.

A log that cannot be rewritten

Every significant action is added to a linked chain of records. A record cannot be removed from the middle unnoticed.

Help inside the system

Every screen carries a note: what it is, what your role can do here and what to watch out for. A new joiner can print the instructions for their own position.

Works on a poor connection

The factory, the warehouse and the road are not an office. Check-ins, visits and photographs accumulate on the phone and reach the server on their own.
